Custom software or a template? How to choose without overspending

“Should I build something custom or use what already exists?” It’s one of the most expensive questions to get wrong. Choosing custom when a template would do burns budget; choosing a template when you needed something of your own holds you back right when you start to grow. The good news: there are clear criteria to decide.

The three options, no jargon

  • Template / theme: something prebuilt you customize (e.g. a store with a theme). Cheap and fast, but you adapt to the tool.
  • SaaS (subscription software): an app you rent monthly. Ready to use, but you share features with everyone and pay forever.
  • Custom: software built for your specific process. Higher upfront cost, but it does exactly what your business needs and it’s yours.

When a template or SaaS is right for you

If you’re just starting, validating an idea, or your process is standard (a common store, a calendar, basic invoicing), starting with a template or SaaS is the smart move. You invest little, get to market fast and learn what you really need before spending on something big.

When custom is worth it

Custom software makes sense when one of these shows up:

  • Your process is different from everyone else’s and standard tools force you to work “backwards”.
  • You pay for several subscriptions that still don’t talk to each other, and the chaos grows.
  • You need to integrate systems (your store, your warehouse, marketplaces) and nothing does it together.
  • The current tool holds you back from growing, or adapting to it now costs more than building your own.

The simple rule: when you stop adapting your business to the tool and start needing the tool to adapt to your business, it’s time to think custom.

A middle option almost nobody mentions

It’s not always “all custom or nothing”. Often the most cost-effective path is a standard base with custom pieces: use what exists for the common stuff and build only what sets you apart (an integration, an automation, your own dashboard). That way you don’t reinvent the wheel or live fighting someone else’s limits.
