How to automate your small business processes with AI (and how much you can save)

How to decide what to automate first

Don’t automate the flashiest thing — automate what costs you the most. A simple rule: prioritize tasks with high frequency, lots of accumulated time and risk of human error.

For each repetitive task, ask:

  • How many times a week does it happen?
  • How many minutes does it take each time?
  • What happens when it goes wrong (overselling, an upset customer, a fine)?

The task that scores highest across those three is your best first project. It almost always pays off within a few weeks.

How to calculate the real savings

The math is straightforward. Multiply the weekly hours your team spends on a task by the cost of that hour, and see how much of it disappears once it’s automated:

Monthly savings ≈ hours/week × 4.3 × % automated × cost per hour
